This Privacy Policy explains how Squadino collects, uses and protects personal information when you use our website and app (the "Service"). It applies to club administrators, coaches, staff, members, athletes and guardians whose information passes through the Service.

1. What we collect

  • Account details: name, email, phone, role, and password (stored as a salted hash, never in plain text).
  • Club data entered by administrators and members: events, chat messages, training plans, results, documents, staff rosters and merch orders.
  • Guardian and athlete details, including date of birth where provided, for safeguarding and RSVP purposes.
  • Billing information processed by Stripe on our behalf — we do not store full card numbers.
  • Usage data such as login times and device/browser information, used for security and support.

2. How we use it

  • To provide and operate the Service (accounts, events, chat, training, rosters, merch, notifications).
  • To send transactional communications (reminders, receipts, account and security notices).
  • To process payments and manage subscriptions via Stripe.
  • To maintain safety and moderation tools (content flagging, banned-word filtering).
  • To improve the Service and respond to support requests.

3. Children's information

Where Customer uses the Service to manage junior athletes, personal information about a child is entered and controlled by Customer (the club, school or organisation) and its guardians, not collected directly from the child. Customer is responsible for ensuring it has appropriate guardian consent for this data.

4. Sharing

We share personal information only with:

  • Service providers who process data on our behalf (hosting, database, email delivery, payment processing via Stripe).
  • Other members of the same club, to the extent needed for the Service to function (e.g. a roster, chat, or event list).
  • Authorities, where required by law.

We do not sell personal information.

5. Data retention

We retain data for as long as an account is active, plus a reasonable period afterwards to allow export or as required for legal, accounting or safeguarding record-keeping purposes, after which it is deleted or anonymised.

6. Security

We use industry-standard measures to protect data in transit and at rest, including encrypted connections, hashed passwords, and access controls limiting who can view sensitive records.

7. Your rights

Depending on your location, you may have rights to access, correct, export or delete your personal information. Requests can be made to your club administrator (who controls most club data) or directly to us at hello@squadino.com.

8. Changes to this policy

We may update this Privacy Policy from time to time; material changes will be notified via the Service.
